Preparation for the release of the 1950 US Federal Census - Bread Crumbs

Are you ready for the release of the 1950 US Federal Census ? Watch for this graphic, on this Blog, and DearMYRTLE's Blog and Facebook Groups as we will use this for the DearMYRTLE's CensusGenie branding.


This is the 6th Blog Post on what I am doing to be ready for the 01 April 2022 release of the 1950 U.S. Federal Census.

In the December CensusGenie, we looked at how to find your ancestor's 1950 Enumeration District (ED), before the Census Records are indexed. I spent some time trying to figure out HOW to use the information we learned and put that into FTM2019, so that I could get right to the Census Record, to the ED where I "might" find that person or family, in the 1950 Census. Knowing that I will probably have to, manually, view the Images to find the person or family that I am trying to find.

This Video will demonstrate HOW I will leave bread crumbs to that ED, with a click of a Mouse. Basically, that bread crumb will be in the Citation for the Residence Fact for 1950.


  

This is why I spent my preparation for this Census, collecting Census records, and Address information from many different records.

As I was recording this, I took another step. I could have use the Address Fact, profile by profile, but the next step was to use the "Bread Crumb" for one person, to everyone who may also have that address in their profile. The Household that I selected at random, gave me examples for what other Profiles I can leave that same bread crumb and who I would NOT use.

Because I use the Smart Filter Feature of FTM2019, I can then Filter OUT, every profile, where there is a Residence Fact DATE: of 01 April 1950. This is not included in this Video, but will probably do another Video on this Feature, as I have been using it during this process.

Reader Question: Purpose of the Fact Description field


Another User Question (love these questions)
What kind of information goes in the “description” tab and does that information eventually migrate to the “notes” section?
This is a great question. "It depends" is my quick answer.

Each FACT that is created in Family Tree Maker has Three (3) FIELDS. You can see the Facts in your File, in the Edit Menu, Manage Facts item.


That will bring up a list of All of the Facts that you are using, and where you will Select the Fact you want to Edit, or one of the Places where you can Add a New Fact. You can always Add a New Fact in the People Workspace, Person View, which is where I would add a new fact.


In this case, I selected Address. It is an Individual Fact, that can be shared with any other Profile. You will note the Annulment Fact, which IS Shared. So, you enter that Shared Fact, and it can be Shared with only a Spouse. Most Facts are Individual. 

I chose Address, because you might think that many profiles might use that Address. That is True, but the "shared" fact is not broad enough, and it only intend for a "married" couple. Married defined in the Marriage Fact settings, which does mean that the couple of married. That is a topic for another blog post.

I am going to click on the Fact, Properties button:


And we have Choices on what Fields we want to have with that Fact. Date / Place Fields, Date / Place / Description Fields, Description Only.

The default for this (system created Fact) is Date / Place / Description, which makes sense, right?

Below that is "Fact sentence". There is where you can change that the Fact will look like in a Genealogy Report. Below that is an Example of that that Fact Sentence Looks like.

You will notice that I marked this FACT as "Private by default". I do not want the Address Fact in my Online Tree. I want to see it always in my File, just not online. So, every time I Add an Address Fact, to a Profile it will be marked Private.

The question was, what do I put in the Fact Description?

Before the Places Workspace was improved, I would put the Street Address into the Description Field. With the option to use the Historical Place Name option, I put the Full Street Address in the Places Field.

Here is an example from a Profile.

There are four (4) Address Facts. Each with a Date, Place, but the description field is blank (image to follow). I point this one out for a reason. I have 2 Citations on the 1917 Fact, World War I draft), 1930 and 1940 Census Records, and a 1942 Fact, which was a World War II draft record).  That was this persons residence, from those records over time. I mention Census, because I use the Residence Fact, with Citations to the Census RECORD. But, these two census records had the street address. Here is why I do it this way. Who else lived at that address ?


Seven (7) People lived at that address over time. The use of the Historical Name is how this works.

You will notice that the address is in that upper field.

What is not in my earlier screen capture, is the Zip Code. Why didn't I enter is. Answer: It was NOT in the Record. If I have or know of the Zip Code, like from an Public Record RECORD, I would put that in the Description Field.

This is the image, mentioned earlier, from the People Workspace, Person View. I  entered the Date, and the complete address, on that 1940 Census Record. Not the "Lock" or Privacy setting.



The Options, on the screen capture, is another place where you can Change the Properties for that, or any Fact.

The final question ask, Migration to Notes. NO. All Notes fields, and there are many, are manually added. I have a blog post on Notes, Notes, and More Notes.

FTM2012 (704) - Place Name Hierarchies - Historical Places

Another new feature in the 704 update, was the ability to move our Historical Place names into the new Hierarchical structure of Family Tree Maker. I have a bunch of them, that I marked as Ignore in the past. Now I can put them into the new format. That doesn't mean that I have completely ignored them, but have a better chance of placing them on a map in a historical view, over a current map.

I have a lot of ancestors in "historical" Maryland. There were parishes and I have recorded them in that manner.

When selecting St. Anne's Parish, Maryland, there is a warning in the center panel. There maybe options and other screens, depending on the location and how you entered the data.


 In the past, this entry was ignored, so there is no ICON to the Right of the Place Name. However, clicking on the field, in the Right Panel, the Pencil ICON will appear and the new Pop-up window will appear.

In an earlier blog post, I mentioned what the last paragraph said:

Place Detail (historical name, address, Church, Cemetery, etc.)

Before proceeding, I suggest that you Back Up your file (File Menu).



 The existing Place Name is in the lower field, but by clicking on the UpArrow to the left of that place name, FTM2012 will move the information up to the first comma, into the upper field. So St. Anne's Parish is not in the upper field, and I can now put Anne Arundel Co., Maryland into the correct format for the Place Name authority. You will not, that since my existing file had Anne Arundel Co., Maryland, USA in the file, it is presented. I don't want that, so I select the correct format (without the Co.,)


 Clicking on Replace St. Anne's Parish is now is the Hierarchical format.



Looking back at the "old" format, there is another entry. So this process is repeated.



Since I have already made the new entry, I RIGHT click on the Old Place Name and select Replace With Other Place Name, where I select the one just created.



 Watch carefully, what you create and what you replace the old format with selecting the new format.


 You will be asked "Are you sure..." and Yes is the correct answer.

Lot's of clean up to do.

Note: I do suggest that you run the Compact File AND the Back Up frequently, as you clean up your file.

FTM2012 (704) - Place Name Hierarchies - Resolve Addresses

I don't know about you, but I have a lot of Street Addresses in my Database. I mark them all Private, but they don't (or should I say had not) fit into the Place field in the past.

The the update to FTM2012, this issue has been resolved. This example has 4 street / complete addresses. In the Past, I had to Ignore the Place Name warning. Also, note the "Lock" on the left of the Address Fact Name. That is an indication that the fact is private.


Selecting the first entry, will put that information into the Right Panel. At this point, there the warning ICON is NOT there, because I had ignored that warning. However, clicking into that field, the Pencil (edit) ICON will appear to the Right, clicking on the ICON will open a new window. Please note what that window says:

Place detail (historical name, address, church, cemetery, etc).



 The item is selected. Just below that Place Detail text, on the left are two arrows. The top pointing down, and the bottom one pointing up. Will click on the bottom arrow. That will take that first part of that address entry and move it to the upper Place detail field.


 So, the Address is in the Place Detail field and the City remains, with the Place Name authority below that. Clicking on Replace, that will replace the "new" place name with the Place Name authority Place name.


Now in this case, there were 4 such entries for that address. You CAN, although I don't to that, as I prefer to do one entry at a time, update those 4 entries.



 The Result is the New Place Name, with the Pin AND the Full Place Name in the full Hierarchical format. State, County, City, Address, in this case.

 Looking back to that first screen, the first entry has not been updated and the address is in the new format.

How to Change Address Format (Easy)

In an earlier post, How To Generate an Address Report we were dealing with an Address Report but wanted to change the format of the Address Fact.

In the next post, How to Change Address Format a way to make this change in format in a step by step process, just to show one way to accomplish this task.

This is another, and quicker way to perform that same task. First, Select the Address Fact to change. Since the Year will remain the same, tab into the Place field and start to type the address. As the previous post suggested, IF the address had already been used, the Fast Field option will show the previously entered Address.





When that entry is completed, and since Family Tree Maker already has this, a Change Place Name window will open. Since we only want to Change this specific field, the default "Change only this instance", is used.


Clicking OK will return to the Address Fact entry and the Description Field. This is now a duplicate of the Place field, and the Description field is high-lighted, the Delete Key can be used to remove that duplication.


The end result makes the change and the earlier change to the Source Citation information is not required.

How to Change Address Format

In How To Generate an Address Report  there was an indication that the format for the Address Fact entry could be improved. The format that had been done is to meet the Place Workspace, Plan Name Authority format. That is City  / Town, County, State, Country format. Below is an example of that:

Address Fact: Baltimore, Maryland, USA
Address Description: 810 Calvert




The desired format would be:

810 Calvert Street, Baltimore, Maryland.

It is also important to keep the SAME Citation for that entry.

One way to do this, is to click on the Green Plus sign, and an Add Fact window will open. This is where you can Add a New Fact. In this case, we want to Add a New Address, so that Address Fact is selected.




This will open a New Address Fact screen. In this specific case, the information was from the 1900 Census Record and it was important for me, for this project to capture the Date and Address for this group of people in this file. So, 1800 was entered in the Date field.

The complete address is entered:

810 Calvert Street, Baltimore, Maryland

If this field had been filled in before, you will notice that I started 81 and a window opened with the complete address. That was from a previous entry. So, going forward watch the Place field for the Address Fact, for the Fast Field feature of Family Tree Maker (if you have it turned on)



Selecting that entry, the Address Fact is completed.

Now for the Citation. Going to the original Address Fact, moving the cursor over the 1st ICON to the right of "New" is a Copy Source Citation ICON. This will allow you to copy that Source Citation to be put onto the New Address Fact.


Selecting the New Address Fact, and clicking on the Down Arrow, to the Right of "New" is a menu where you select "Past Duplicate Source Citation". This will put the Citation from the Old Address Fact, with the New Address Fact.


Since this is now a duplicate Address Fact for 1900, selecting the Old Address Fact and clicking on the Red X will delete that Old Address Fact.



The resulting Address listing is below. Each of the earlier entries were done in this fashion.


An alternate and quicker way to do this same task will follow.

How To Generate an Address Report

This blog post will help generate an Address Report.

For this example, I have a couple of Family Groups who lived in Baltimore Maryland for a number of years, as recorded in Census Records. Addresses were not always available or readable in some of the census records, but they were recorded in the Address Field, within Family Tree Maker.

To generate a report of those address entries, to to the Publish Workspace, Person Collection, and select Custom Report.




In the Right Hand (RH) Panel, left end, select the Items to Include ICON. This will bring up the Items To Include Screen.

Using the Red X and selecting the Birth, Marriage, and Death Facts, those facts can be removed for this report. Also, removing the Check Mark in Include Only Preferred Facts, Include Person Notes, and Include Fact Notes, will remove that information from this report.



Now add the Address Fact, but clicking on the Green Plus and the Address Fact will be included. High Lighting the Address Fact, and selecting the Address Options (at the bottom of that window), will include the Date, Place, and Description fields.



For this example, will change the Name format to Last Name, First and Middle Name, using the Name Options. Selecting the Name Fact, and Name Options at the bottom of that window.


The report will be sorted by Name, then by Address by Date.


Will change the 'default' name of this report to Addresses, and make sure that the Header and Footer contain the Header on each page, Page Number and Date on each page.


Will save this Report and call it Addresses, in the Save Report collection.

There is a problem with the above report. There are Names that have NO Address information displayed. Since we only want Names with Addresses, we continue.

In the RH Panel, select Selected Individuals. This will bring of the Individuals to Include screen. Make sure that the Right side of the screen is blank.


Selecting Include > will bring up a window where All Facts is selected, Address Fact and Is Not Blank are selected.



The revised Addresses Report is below. In this case it is sorted by Person.

Note: If I do not know a persons Name, the use of 5 underscores "_____" is used.

Going to the People Workspace, Person View, this is what is displayed. Normally, the most recent Fact is what I mark as "preferred".



But, since the address format wasn't the way I expected, as the Place Name was Baltimore, Maryland, USA, and the address was in the Description field. a New Address Fact was added to reflect the Street Address, followed by Baltimore, Maryland.


A follow up blog post will provide steps to make these changes.

This same concept can be used for Phone Numbers and Email Addresses.

Note: the way of handling the Address Fact will cause these entries to be "UnResolved Place Names" in the Place Workspace.
